Global healthcare provider automates and secures initial password set for new Workday accounts

Our client (who wishes to remain anonymous), a global healthcare giant, was struggling to realise the full benefits of Workday, with difficulty setting up and securing initial user passwords.

ThirdSpace worked with our client to deploy Access Centre. This unique solution automated bulk initial password set, which enabled a more secure roll-out of Workday to all user accounts.

The problem

Our client had already been working with ThirdSpace to integrate the Workday SaaS HCM solution with their IAM systems as the ‘single source of truth’ for the organisation. As part of this project, they had a challenge around how they could securely and easily set the initial passwords for users.

Our client’s users are split between IT facing (office-based) and those that traditionally don’t require regular access to a computer (healthcare workers and front-line staff). This mix of ‘wired’ and ‘unwired’ employees required two different processes to ensure all employee Workday accounts were securely activated.

The solution

To manage this problem, our client chose to use the ThirdSpace Access Centre Activation tool. Access Centre includes self-service password management functions that remove the logistical headache of manually on-boarding new recruits – this significantly reduces administrative costs.

The tool was integrated into the client’s joiner processes in two slightly different ways in order to manage both ‘wired’ and ‘unwired’ users.

Access Centre enabled IT administrators to do the following:

  • Specify authentication methods to suit the client’s organisation preference.
  • Populate new users using their existing identity and access management (IAM) solution.
  • Contact new users automatically, taking them through an activation process with no administrator input.

Access Centre facilitates the secure on-boarding of thousands of Workday users in a fast and secure manner.
